Understanding and Using Groups Effectively

Here we describe how to best use the group feature to manage the athletes in your organisation.

Groups


Groups should be used to split your athletes down into manageable chunks for inviting to events and viewing data.


We recommend beginning with large groups such as a whole school year or age group e.g. Year 7 or U18s, you can then select from these to make more precise groups e.g. Year 7 - Cricket, U18 – Defenders.


All coaches can see all groups in the system, however, your administrator can set privileges for which groups and the athletes within those groups they can remove data from.


Creating Groups in the Welcome Tasks


1. After inviting your athletes you will be presented with this screen.



 

2. Click 'All Athletes' and the list of your athletes will appear on the right-hand side.



 

3. Type a group name into the text box and click the grey + to the right, I have done "1st Team Athletes" below. You will notice all the athletes are now white, meaning they are not currently part of this group. 



 

4. Clicking the + will add the athlete to the group, athletes in the group are highlighted in black.



 

5. Repeat this process until you have added all the athletes to the groups you need. You can add more later. I have included two more examples below which are "2nd Team Athletes" and "1st Team Attacking Unit".  Make sure you have clicked the group name on the left before adding athletes. 







 

6. Once you are done, scroll to the bottom and click SUBMIT.

Inviting Groups


You can invite whole groups to an event, which is a great time saver if you have a lot of athletes attending an event. If you know the majority of a group are attending but have known absentees, you can expand the group to view all the athletes within and then remove the one or two absentees.


We only recommend you do this for one-off events.


However, if this is a regular event set it to reoccur, we recommend you invite the whole group and then adjust the attendance afterwards, as who is absent may change week to week. Inviting the whole group also gives you flexibility, if a player moves group (from 2nd team to 1st team for example) simply removing him from the group will update all recurring events. If you have invited individuals to the recurring event you would have to manually remove that athlete from all future occurrences.

 

Here we see all first-team players and coaches have been invited to an event using the group invite.
