A step-by-step guide on how to create an event (like a testing session and fill in your data)
Creating an event can mean many things. Like a testing session, a training session or even a social session!
Below we wanted to show you how that works in the real world and give you some top tips along the way (look out for the blue text sections).
Below we have included screenshots and a video
Setting up the date and time of your event
Invitations to athletes and staff
Set up your event name, date and time.
Naming your event is pretty simple.
- Name your event appropriately
- Choose from the drop-down of event types - Testing/Training etc.
- Use the calendar button to choose your date.
- Then pick your start time and event duration.
All those steps are required.
The event name you create will be sent out to all athletes and coaches you invite so you may want to think of a naming process. Maybe DD:MM:YY then a description like "1st XV fitness testing" might work for you. That is what MVP does for all our fitness testing.
Notifications and reminders
Then you can choose your notification reminders and if you would like the event to repeat say for a weekly meeting or something that always happens on the same day/time every week. It works in the same way an Outlook or Gmail calendar might.
Event details
Now it is time to set up the details of your event.
The steps here are:
- Adding a questionnaire - these are sent to athletes to fill out prior to an event
- Adding a test or tests - choose from our library of tests or create your own
- Adding a proposed RPE and ask the athlete how tough they found the session
- Choosing if you would like your players to rate their own performance after the session
- Notes - These will be sent to the athletes, maybe include instructions like "bring your boots"!
Invitations to athletes and staff
Now you have the details of the event sorted it is time to invite your athletes and staff to the event!
When you invite athletes and staff (or groups) to an event they will be notified of the event via email and in their accounts notifications section.
You can invite individual athletes, multiple athletes, athlete groups that you have created or simply everyone to an event. The same goes for coaches.
There might be times when you are offering an "extra" session that isn't compulsory to attend. We have given you the ability to invite optional athletes to an event too.
Now just click "create event" and it will send emails, and notifications and populate all calendars with the event details. You can check the details by clicking on the event in your calendar.
Once an event has been created, if you no longer want it to go ahead you will need to cancel the event entirely and recreate a new one. Everyone will be notified of the cancellation to avoid any confusion!
